Job Summary:
The Marketing Coordinator provides essential administrative and operational support to the Marketing team, enabling the smooth planning, execution, and tracking of marketing initiatives. This role partners closely with Trade Specialist, Brand Managers, Accounts, agencies, and suppliers to ensure marketing activities are well-organised, accurately documented, and aligned with business objectives. The position suits someone who enjoys working collaboratively, managing multiple priorities, and contributing behind the scenes to impactful marketing work in a respectful, inclusive, and team-oriented environment.
Key Responsibilities:
• Coordinate and track administrative marketing activities, including maintaining templates, records, and marketing documentation to ensure consistency and accuracy.
• Manage purchase orders, invoices, and budget tracking, ensuring timely processing, reconciliation, and compliance with internal financial and accounting practices.
• Liaise with Accounts, external agencies, and suppliers to support quotations, payments, and monthly marketing spend reviews.
• Support Brand Managers with the preparation of reports, presentations, cash flow updates, marketing calendars, and project tracking tools.
• Assist with trade marketing activities by coordinating promotions, supporting inventory checks, engaging with suppliers, coordinate the procurement of promotional items and prizes, process promoter payments and providing on-site or event-related assistance when required.
• Handle internal and external marketing communications, including marketing email distributions, correspondence, and general inbox management.
• Provide general administrative and organisational support such as scheduling meetings, maintaining filing systems, coordinating team activities, and completing ad hoc tasks to support team priorities.
• Collaborate with cross-functional partners to ensure information flows smoothly and deadlines are met, even when working under pressure or across multiple workstreams.
Requirements and Qualifications:
• Minimum of four (4) years experience in a similar administrative, marketing, or coordination role.
• Minimum education of four (4) CXC subjects at General Proficiency level, including English Language and a numeric subject.
• Bachelor’s degree in Business Administration, Marketing, Accounting, or a related field is considered an asset.
• Working knowledge of marketing administration, budgeting, and internal business processes.
• Proficiency in Microsoft Office applications, particularly Excel and PowerPoint, with confidence preparing reports and presentations.
• Strong attention to detail, organisational skills, and the ability to prioritise multiple tasks effectively while meeting deadlines.
• Demonstrated ability to work independently with a high level of initiative, while also contributing positively as a team member.
• Excellent communication and interpersonal skills, with the ability to interact professionally and confidentially with internal and external stakeholders.
• Reliable internet access to support remote working when required, and a commitment to inclusive, respectful, and collaborative ways of working.
